Operations Coordinator – Full-time Position

POSITION SUMMARY:


The purpose of this role is to coordinate production (client purchases/orders).  You will be responsible for working with our entire team and managing production through our sophisticated software system which is easy to use.  There will also be vouching of costs to orders as well as vouching of costs to invoices.  All these responsibilities will be trained however experience or preferences with administrative tasks are a benefit.

What you’ll be doing…


  • Prepare purchase orders & submit to multiple vendors
  • Work closely with the sales team, liaison between sales rep & vendors
  • Track & troubleshoot orders and ensure timely/successful delivery
  • Manage & maintain order tracking list
  • Correct discrepancies between purchase orders and vendor order confirmations
  • Follow-up with clients after projects have been delivered/completed (Emailed Survey)
  • Receive, analyze & vouch freight costs to individual orders
  • Vouch for additional internal costs to various cost centers
  • Ensure orders are closed & invoiced in a timely manner
  • Invoicing & creating bills in Quickbooks Online; Recurring Invoices
  • Coordinate international and domestic freight (if required)
  • Creation of shipping labels and commercial invoices for vendors (if required)
  • Coordination of local shipments/delivery (as required)
  • Shipping/redirection of packages received in Edmonton office (daily)
  • Other duties and responsibilities as required

Day-to-day, you’ll be working with our entire team but stationed at a computer (two monitors for simplifying each task).
As part of this opportunity, you’ll also be a part of a VERY fast-paced and high-growth company. You’re getting in on the ground floor of an experienced but growing agency and will have input and responsibility as we grow the team. Your role will include basic to challenging accounting functions (ie vouching for costs to orders, vouching for shipping costs to vendor bills, proofing costs on orders, following up with vendors on ship dates for orders, etc).

QUALIFICATIONS:


Required:

  • Minimum 1-2 years purchasing experience required
  • Basic Quickbooks Online knowledge
  • Basic knowledge of Supply Chain and Accounting processes
  • Strong analytical, critical thinking, complex problem-solving skills
  • Ability to work in a very fast-paced environment and support a team of Sales Reps that work in the office & work remotely
  • Organized, self-motivated with the ability to work both independently and as a team
  • Excellent computer skills, able to use Microsoft Office and ERP Software
  • Excellent communication skills, both verbal and written

THE PAY:


Wage-based to start.  Pay will depend on experience but ranges from $17 to $20 per hour.
